AI Lead Qualification and Salesforce Follow-Up Automation That Saves Human Time

MarraTech.ai runs two brand websites, marratech.ai and alana-health.ai, both built on WordPress and hosted on a shared cloud package, with Salesforce as the in-house CRM. Every contact form submission was a potential customer. It was also, quite often, a bot offering SEO services or a line of random characters that somehow got past the captcha.

Sorting one from the other was a human job. Few Good Geeks replaced it with an AI-assisted pipeline: Claude reads each submission, discards the spam, and turns every real message into an enriched, assigned Salesforce lead with a task attached and a sales cycle that tracks what happens next.

The Challenge: A Contact Form Is Not a Sales Process

Two websites meant two streams of submissions landing in email. Real enquiries sat in the same pile as spam, and the only filter was whoever had time to read them.

When a message was real, the work had only started. The details were retyped into Salesforce by hand, usually with half the fields empty. Nobody had time to research the company first, so salespeople went into conversations knowing a name, an email address and whatever the visitor had typed into a text box.

Assignment depended on who noticed the lead first. Follow-up depended on memory. Website enquiries had no sales stage of their own, so they could sit in the CRM untouched and nobody would ask about them. The websites were doing their job. The handoff after them was running on goodwill.

Office worker overwhelmed by contact form spam mixed with real enquiries from two websites before AI lead qualification
  • Real enquiries mixed in with spam across two websites.
  • Form data copied into Salesforce by hand, with gaps.
  • No research on the lead before the first sales contact.
  • Ad hoc assignment: whoever saw it first, owned it.
  • No sales stage or reminders for website leads, so follow-ups slipped.

The Solution: An AI Gatekeeper Wired Into Salesforce

Few Good Geeks built the workflow in n8n, linked to both WordPress sites and Salesforce through email and Salesforce connectors. Every new contact form record triggers the same sequence, whichever brand it came from.

First, Claude, called through the Anthropic API, decides whether the submission is spam or a genuine message. Spam stops there and never becomes a CRM record. A real message moves on: Claude pulls every usable detail out of the form, and n8n creates a new Salesforce lead with it.

Then the lead gets researched. Custom MCP servers give Claude controlled access to online sources, so it can fill in the fields a salesperson would otherwise look up by hand. The enriched data lands in Salesforce before anyone opens the record.

The workflow assigns a salesperson and creates at least one task, so every real lead arrives with an owner and a next step. Contact form leads run through a custom Salesforce sales cycle with their own stages, instead of being folded into the general pipeline.

The automation also monitors sales activity on these leads and reminds the assigned salesperson about any task that still needs handling. A lead can still be ignored, just no longer by accident.

This is the kind of system we build under CRM and revenue operations automation, and it sits naturally next to the pipeline from our Salesforce CRM enrichment case study.

AI lead qualification workflow: contact form, Claude spam filter, Salesforce lead, enrichment, salesperson assignment and reminders
  • Uses Claude to separate spam from genuine enquiries on both websites.
  • Creates a Salesforce lead from the form data automatically.
  • Enriches each lead through custom MCP servers.
  • Assigns a salesperson and creates at least one task per lead.
  • Tracks sales activity in a dedicated sales cycle and sends reminders.

The Benefit: Every Real Lead Gets an Owner and a Next Step

The team no longer reads spam to find customers. Only messages worth a reply reach Salesforce.

Salespeople open a lead that already holds the form data, the research and a task. The first call starts from context instead of a search engine. Because website leads have their own sales cycle, management can see where each one stands without exporting a single spreadsheet.

Follow-up is no longer a memory exercise. The workflow notices an open task before the lead goes cold, and says so.

The logic lives in n8n, where the team can read every step. They can tune the spam decision, change assignment rules or add a website without rebuilding anything.

Conclusion

MarraTech.ai did not need more people reading inboxes. It needed the space between "form submitted" and "salesperson calls" to run on a system instead of good intentions. The pipeline now handles triage, data entry, research, assignment and reminders, and leaves the conversations to humans, who are still better at them.

If your contact form feeds an inbox instead of a pipeline, we can help you set a course from submission to signed deal.
